We collect personal information that you voluntarily provide to us when you register for an account, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Payment Data

We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number and the security code associated with your payment instrument. Application Data

If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:

  • Mobile Device Access: We may request access or permission to certain features from your mobile device, including your mobile device's camera and other features. If you wish to change our access or permissions, you may do so in your device's settings.
  • Mobile Device Data: We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, and information about the features of our application(s) you accessed.

Data Storage: Local vs. Cloud

We use a hybrid storage approach to protect your privacy:

  • Stored locally on your device: Invoice data, scanned documents, and app preferences. This data stays on your device and is not transmitted to our servers.
  • Stored in the cloud: User profile, account information, authentication credentials, and subscription status. This data is securely stored using industry-standard encryption.

Analytics Data (Opt-In Only)

Analytics collection is optional and disabled by default. If you opt in during registration, we may collect device type, operating system, app usage patterns, and crash reports to help us improve our services. You can change your analytics preference at any time in the app settings.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions, such as:

  • Document analysis and data extraction from transportation documents
  • Automatic invoice field population based on document content

We provide the AI Products through third-party service providers ("AI Service Providers"), including Google Cloud AI. Your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. Document content is temporarily processed and is not retained after processing is complete.

5. How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

  • Account and profile data: Retained while your account is active; deleted upon account deletion request
  • Invoice and document data: Stored locally on your device; you control when to delete this data
  • Analytics data: If opted in, retained according to our service provider's policies
  • Error logs: Typically retained for 90 days for troubleshooting purposes

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible, then we will securely store your personal information and isolate it from any further processing until deletion is possible.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. 9. Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
